TITLE:                                 Fleet and Facilities Coordinator 

LOCATION:                         Oak Creek 

REPORTS TO:                     Vice President of Fleet and Facilities 

EMPLOYEE:                        Full Time, Hourly, Non-Exempt


The Fleet and Facilities Coordinator is responsible for administering documentation, systems, inventory, scheduling, and other system admin duties to ensure effective and efficient upkeep of the GO Riteway Fleet and Facilities.  The position ensures that all vehicles are licensed, registered, insured, and properly maintained.  This role will assist in all facilities related vendor relationships.  The position requests quotes, and pricing for facilities related updates and maintenance, and upon approval ensures work is completed appropriately.  Prepares, completes and submits reports, paperwork and invoices on time and correctly on vehicle and facilities maintenance.  The role monitors accuracy of parts inventory at all locations.  The successful candidate will work directly with the Vice President of Fleet and Facilities to ensure the companies vehicle and property assets are taken care of.  Completes other duties as assigned.


A. Assists in the upkeep of the organization’s maintenance systems to ensure all vehicles are safe, reliable, properly maintained and will pass annual state inspections. 

    1. Assist in developing a vehicle maintenance schedule for the fleet and ensures proper implementation.
    2. Assists in the planning and successful completion of state annual inspections for all locations.
    3. Assist terminal managers in on-boarding and supervision of company shop personnel as needed. 
    4. Is responsible for the admin and training of the mechanics on the use of the organizations Maintenance software.

B. Create and maintain required records on-time, accurately and in accordance with Federal, State, DOT and company policies and procedures.  

    1. Assist shop staff on the correct and timely use of On Command, the maintenance management system for GO Riteway.
    2. Oversees all fleet files related to the repair and maintenance of vehicles for easy of retrieval and reporting.
    3. Work with terminal staff to maintain and communicate processes for ensuring completion and collection of all relevant documentation related to vehicle maintenance.
    4. Maintain a master record of all GO Riteway vehicle annual inspections.

C. Work collaboratively with staff to support efficient Terminal Operations.  

    1. Assess and develop recommendation on fleet issues and concerns.
    2. Maintain and support a safe work environment through good housekeeping, safety awareness training and employee involvement. 
    3. Support Terminal Operation activities to ensure services to customers are met. 
    4. Drive school bus or other company-owned vehicle when necessary

D. Manages the vehicle administrative process. 

    1. Ensure that the defined processes and procedures for implementing tracking, and processing vehicle maintenance are consistently followed in relation to the maintenance management system. (On Command)
    2. Administers and ensures the Fleet database is accurate and complete to ensure compliance.
    3. Works with the Vice President of Fleet and Facilities to determine and ensure completion of outside maintenance and repair work for both Fleet and Facilities.
    4. Assists in monitoring current vendors for quality and pricing while assessing other options.
    5. Tracks and monitors permitting, license plates, insurance, warranties, to ensure the company assets are compliant and protected.

E. Administer and track property related documentation and leasing information.

    1. Administer and track lease agreements related to company rental properties.
    2. Organize and monitor property related maintenance projects.
    3. Assist tenants with the coordination of repair scheduling and upkeep.


  • Must have good interpersonal skills and an ability to develop relationships.
  • Must be able to obtain and/or retain a Commercial Driver’s License (CDL) with a “P” and “S” endorsement.   
  • Must have good skills involving the use of computers and other office equipment.  Knowledge of MS Word, Excel, and Access are necessary.   
  • A strong ability to communicate information to others clearly and keep others informed appropriately.
  • Use interpersonal skills to understand the needs of external customers and co-workers.
  • Have the ability and desire to work cooperatively with others to help the team achieve its goals.
  • Ability to manage and resolve conflict to gain the support of all parties involved
